Booking Policies

Grant Public Schools Fine Arts Center

            The Grant Public Schools Fine Arts Center is available to be booked under the following conditions.

Renting organizations will fall under one of the following categories:

Category A - For-Profit groups located outside the boundaries of the Grant Public School District.

Category B – Not-for-Profit groups located outside the boundaries of the Grant Public School District.  A copy of the organization’s 501 © 3 papers must be filed with the GPS FAC.

Category C – For-Profit groups located within the boundaries of the Grant Public School District.

Category D- Not-for-Profit groups located within the boundaries of the Grant Public School District.  A copy of the organization’s 501 © 3 papers must be filed with the GPS FAC.

Category E- Classes and groups recognized as part of the educational activities of the Grant Public Schools

Booking Priority

Group E – School related organizations and activities have priority in booking over outside organizations.  School related organizations and activities may book events at any time by using the established procedures.

 Groups C&D – Organizations located within the boundaries of the Grant Public School District may book events nine (9) months prior to the event date.

 Groups A & B – Organizations located outside the boundaries of the Grant Public School District may book events eight (8) months prior to the event date.

 All groups must initiate reservation process through the reservation form on the GPS FAC website (www.grantps.net/fac). The date and time of submittal will establish priority in scheduling.  No reservations will be made using any other means and forms submitted prior to listed booking dates (Groups C&D, nine months out; Groups A&B, six months out) will not be considered.

 The Client must name an approved supervisor, aged 21 or over, who will sign, abide by and enforce all GPS FAC printed policies.

 Upon receipt of reservation form, the GPS FAC will contact the Client to assist in completing the GPS FAC Licensing Agreement.  The GPS FAC must receive the completed Licensing Agreement at least 30 days prior to the event date.  No reservation will be confirmed until the GPS FAC representative approves the application. A non-refundable deposit equal to 50% of the estimated rental fee is required to confirm reservations.  Payments must be made in the form of a certified check, cashier’s check or company check, payable to: Grant Public Schools.

 The Client must confirm reservations by phone or in person 48 hours in advance of event.

All contracts, changes to contracts and additions shall be made in writing.

 The Client will be sent a final invoice 14 days following the event.  The non-refundable deposit will be reflected on the final invoice.

 Any credits will be issued 14 days following the event in the form of a check.

 Following the execution of a Licensing Agreement, cancellation of an event less than thirty (30) days prior to the beginning of the licensing period for reasons other than an Act of God may result in a forfeiture of deposit.  Licensee may be liable for any pre-production expenses related to preparation for cancelled production.  Events cancelled due to inclement weather or other Acts of God will be rescheduled if at all possible. The GPS FAC reserves the right to refuse rental to any group, event or activity if the management reasonably determines that said activity or response to said activity may cause damage or unusual risk of damage to the facility or its patrons.  Rental may also be refused on the basis of prior disregard of GPS FAC rules and regulations

 The GPS FAC reserves the right to cancel an event due to the Client’s breach of contract, which may result in a forfeiture of the deposit.  The Client may cancel a contract and forfeit the non-refundable deposit.

 The Client shall be required to supply evidence of public liability insurance of at least One million dollars ($1,000,000) and naming the Grant Public Schools as an additional insured.   The policy must be valid during the entire time the Client is occupying the facility.  A copy of the Certificate of Insurance must be on file with the GPS FAC 10 days prior to the event.

 An event open to the general public and involving more than one performance on the same date must be scheduled and operated in such a manner that an interval of at least two (2) hours is provided between the end of one performance and the beginning of the next.

 The GPS FAC reserves the right to schedule multiple, non-competitive activities in the facility simultaneously.
